10 Tips for Booking Entertainment for a Corporate Event
Finding entertainment for a corporate convention, holiday party or conference can seem like a overwhelming task. There are literally thousands of excellent, good, and down right horrible corporate entertainers available. This list will give you some advice on how to narrow down your search and find entertainment that will help make your event a success!
#10 – PLAN EARLY. The most popular corporate entertainers book up very quickly for popular dates. During the corporate holiday party season (Nov-Jan), entertainers can begin to book up over a year in advance. Avoid disappointment and start looking for entertainment as soon as you know the date of your corporate event.
#9 – KNOW WHAT YOU WANT (AND MORE IMPORTANTLY, WHAT YOUR AUDIENCE WANTS). You can make your search for an entertainer easier if you have an idea of the type of entertainment that would work well for your group. Popular corporate entertainment includes:
COMEDY – Comedy acts can be a great way to get your group laughing together. Comedy acts don’t have to be just stand-up comedians. Many corporate comedy acts blend magic, juggling, or other variety performances into their comedy show. This variety helps insure that there is something for everyone in the performance.
No matter what type of comedy act your choose, be sure that the comedy is going to be appropriate for your group. Many comedians have different ideas on what “clean comedy” is, so be sure to ask for a demo video to preview the show (see #1 below!)
MUSIC – Many headline singers and bands are available for corporate events.
MAGIC – There are many different styles of corporate magicians and corporate magic shows. Some magicians offer strolling magic (going table to table at your event), some perform large illusion show with special effects and a cast of dancers, others specialize in comedy magic that gets your audience laughing in involved. Whatever styles of corporate entertainment you are looking for, be sure to find a magician who specializes in only that style. There are magicians you will tell you that they do everything – illusions, comedy, strolling, but that is because they are not proficient at any specific style, so all their shows are usually only mediocre. For the best possible show, hire a professional corporate magician who specializes in one style of magic. These performers will be the best in their field in illusion, comedy, or sleight-of-hand because that is all they do.
HYPNOSIS – Hypnotists can be great for the right group. Hypnotist shows are very interactive and require a very outgoing and uninhibited group to really be successful.
#8 – BOOK DIRECTLY WITH THE ENTERTAINER TO SAVE MONEY AND HEADACHES. If you book your corporate entertainment directly through the entertainer, you will save money on entertainment. Most corporate entertainment agencies add an additional 15-35% to an entertainer’s fee. By booking a corporate entertainer direct, you also have the convenience of being able to talk with the entertainer (or their office staff) about any questions or concerns. Most corporate entertainment agencies will not let you talk with the entertainer until the day of the show. By booking direct, you can be guaranteed that there are no miscommunications about the performance. You can find direct contact information for entertainers by doing an internet search for “corporate entertainers”, “california comedian”, etc.
#7 – PLAN A REALISTIC BUDGET. The old adage, “you get what you pay for”, applies to entertainment as well. The entertainment is not a place to save a few dollars. You would never cut corners on the food you would feed your guests, and should never cut corners on the entertainment. Bad entertainment can ruin an event just as quickly as bad food. You are not going to be able to get a GOOD quality corporate entertainer to do a show for $400. Fees for a TOP QUALITY, professional corporate entertainer will range from $1500 – $100,000 + depending on the size of the show and the performer’s experience and reputation.
#6 – KNOW THE PERFORMER’S EXPERIENCE. You want a corporate entertainer who primarily entertainers for corporate audiences. Don’t be afraid to ask questions… Is the performer a full-time entertainer? Have they performed at events like yours in the past? Do they have letters of recommendation and reviews from past clients for you to read?
#5 – IF YOU HAVE A SPECIAL REQUEST….ASK! Many entertainers are happy to customize part of their performance for your event. If you have a special request in mind, be sure to discuss this with the performer at the time of booking.
#4 – DISCUSS SET-UP REQUIREMENTS BEFORE BOOKING. Set-up need for entertainers vary greatly. Some can perform in the corner of a room with just a microphone, some need a minimum stage area and special sound and lighting equipment. Be sure that your venue will be able to meet your entertainer’s set-up needs prior to booking.
#3 – LEAVE YOUR GUESTS WANTING MORE. 90 minutes of entertainment may sound like a great idea when you are planning your corporate event, but most audiences do not want to sit through a 90 minute show. A longer show does NOT equal better show. Even the TOP comedians and entertainers in the WORLD (Jerry Seinfeld, Jay Leno, etc) only perform 60-75 minute shows. Professional entertainers and corporate event planners agree that a good length for most corporate live entertainment is 35-50 minutes. It is always better to leave your audience excited and wanting more…rather than having them get tired and start looking at the watch.
#2- KNOW WHAT IS INCLUDED IN THE FEE. There are travel expenses associated with hiring national entertainers for your corporate party. Many entertainers include the travel expenses into their performance fee and for some travel will be an additional expense. Be sure to know what is included in the fee you are quoted to avoid any unexpected (and potentially expensive!) surprises.
#1 – MOST IMPORTANTLY – ALWAYS ASK TO SEE A DEMO VIDEO. A demo video is the only way you can truly judge whether a corporate entertainer will be right for your company party. The demo video should be short highlights of the segments of an entertainer’s show. The video should be filmed in front of a live audience so you can see how a real audience reacts to the show. If an entertainer’s video is nothing but split-second clips and flashy graphics set to music, then they are probably trying to cover for an inadequate performance – or worse, it could mean that they have NEVER even performed in front of a real audience.

I was quite amazed when browsing the web the other day to find someone advertising an entertainment agency for sale and asking for bids on it, curious I decided to take a closer look. I also found some sites also selling entertainment agencies, this time with asking prices, and what the supposed turnover for those companies was.
I have been in the entertainment industry for over 31 years, and acting as CEO of an entertainment agency since the year 2000, and what I read astonished even myself. My aim in this article to deal primarily with the first site I mentioned although I will not reveal its name.
The person advertising the site made it appear that anyone can run a successful agency, and that you really don’t need any skill, and that you can use it to make lots of money. These are the main points of the sales pitch that I wish to comment on.
Firstly not everyone can run a successful entertainment agency, it is more than just finding a few acts to add to your books and then selling their services. To be successful requires building relationships with acts, clients and venues; it requires building trust and that can only happen with time. A successful agency needs a good variety of acts to offer, as each clients needs are different, and each event is bespoke, no two are the same. Experience is the key; knowledge of the industry a must, being able to offer advice that is competent to clients and acts is paramount. You cannot sell something about which you have little or no knowledge.
A good entertainment agent is a skilled individual, the same as an electrician or builder. The main skill is how to tell a good act or service from a bad one, how to get them to want you to represent them. An agent also needs to understand the best way to market a particular act, what events they are suitable for, which clients would be interested in them, you don’t try and market a rock band to the cabaret club on a cruise ship full of pensioners and you wouldn’t suggest a blue comedian to supply family entertainment at a holiday centre. Agents have to be skilled in separating the wheat from the chaff, they have to be good at promotion, and they have to be sales people. Trust me it is harder to sell a service than it is a product.
The third point was that it is easy money, which is a big no. Most people looking for entertainment will try many sources and often more than one agent, so you are competing with others in the industry, others with experience. Lets say that in a week a new agency gets 25 enquiries, which is an over estimate, but makes the figures easier (I am allowing an approximate 10% conversion rate from enquiry to sale). Perhaps 3 of those enquiries translate into bookings at lets say £200 per act per booking that makes a total of £600 the acts will earn, that is not the agencies money the agencies money comes via commission. Now lets say the agency charges a commission of the average 15% that equals a commission made of £90.00. Now subtract from that overheads, telephone, postage, printing, software, advertising and also time spent working on winning those 3 out of 25 enquiries, also take into account the cost spent on the enquiries that did not convert, you will probably find that after everything those 3 acts have made you a total of £50.00 after expenses. Now comes the next bit of bad news, you cannot claim any commission until after the act has done the job and been paid by the client, if one of those bookings is 6 months away then you have to wait. There is also the matter of taxation and in the UK national insurance contributions, which takes a little more from the profits.
An agent also needs to know the law in the country in which they operate, and to comply with it. But that could make god knows how many more articles in it’s own right. The other thing to bear in mind if you operate in the UK is that it is illegal to charge an act a fee for registering with you, I cannot comment on if this is the case in other countries.
To clarify what I have written, entertainment agencies are not a get rich quick scheme, the good ones are managed and run by dedicated individuals who put in long hours, people who have worked hard within the industry to build themselves up to where they are now, it did not happen overnight. There is no such thing as easy money we all work for what we get nothing comes for free. It is drive and determination and a unique skill set that separates the top agencies from the rest and to get the quality acts on your books means knowing your industry.

So you’ve just got engaged! It’s now time for the excitement to begin. You’ve got a wedding to plan! At this point you’ve probably got a lot of questions running through your mind. Where do you begin? What questions should I ask vendors? Where am I going to get the money? Wait, how much money are we talking about? On the contrary to what most couples believe, wedding planning can actually be fun. With proper planning and allocated time to complete it you can create your truly unique and exciting Chicago Wedding reception.
When it comes to the entertainment portion of your reception this should be treated with care as with all your other very important wedding details. The entertainment seems to be one of, if not the most important components to a reception. Sure, the food, decorations, and socialization are very important but without entertainment, these events would take on an entirely different personality.
For affairs that are focuses around the entertainment, or at least ones where it is responsible for a major role in the success or failure of the event, some serious considerations must be taken when hiring the right entertainment.
Will you find the right entertainment by hiring the one that answers the phone first or the one that has the lowest price or would you select one just because they live in your hometown? These are actually several things you should consider before selecting your entertainer:
- Is the entertainer experienced in providing services for your event type? This question can’t just be answered in a yes or no question either. You’ll want someone who knows the ropes. How much experience do you want your entertainer to have? Consider getting a list of references from previous clients.
- Who will actually be the entertainer at your event? Often times with larger multi-operational companies you won’t actually know who your entertainer is until that night. Is this something you’re willing to accept? Always ask this question when shopping for entertainment and make sure it’s laid out clear and concise in your contract.
- What type of equipment do you deserve to have at your event? Imagine not being able to understand announcements or even worse hearing a hiss or buzz during your event. Imagine having part of your beautifully decorated event contain an eyesore of wires and beat up equipment. Another important face is just because an entertainer charges top dollar doesn’t always mean they’ll bring top dollar equipment to your event. Getting a picture of their setup is a must!
- What additional services are included other than just playing music? Will you need a master of ceremonies (emcee) at your event, a coordinator, or even someone to interact and participate with your crowd? Is your entertainer willing to step up to the plate and deliver those services? These can be important things to ask before your event. You’d hate to hire an entertainer who can’t entertain.
- Is your entertainer and elegant public speaker? Do they speak in complete sentences without stuttering and using um and uh? Public speaking is said to be one of the number one fears in the United States. If someone isn’t good at speaking in person odds are they won’t be able to speak in front of your crowd. This is a very important aspect of the entertainer can be over looked.
- Is backup equipment provided and immediately available? As you know all electronics are man-made and with all man-made products they can fail. So it’s important that your entertainer have not only backup equipment but also a backup plan. Ask your entertainer for their backup plan.
- What happens if the entertainer is ill or otherwise cannot attend your event? These details should be laid out in a written contract form with EVERY service provider. Always lay these things out prior to your event to prevent any situations later on.
- Is your entertainer insured? Every legitimate business has insurance. This may not seem important upfront, but heaven forbid something were to happen at your event. Are you willing to hire an entertainer without it? Ask your entertainer for his proof of property AND liability insurance.
- Are there any hidden additional charges or expected necessities from your entertainer? For example, are you required to pay a service charge for stairs at the reception hall? Or are you required to pay for their dinner? Will they need to take smoke breaks? If you’re entertainer doesn’t cover these issues in their sales pitch perhaps you should ask them.
- How much input will you be able to give on your music selection? This can also be a very important question when you’re shopping for entertainment. Everyone has their own tastes and preferences when it comes to music. Will your entertainer be able to cater to those tastes or will they stick to their own routine. Also does your entertainer offer online music planning?
With so much riding on the success of your event your entertainment should never be over looked. There should be several factors that come into play rather than just price when shopping for your wedding entertainment. Don’t ever be afraid to ask questions as the entertainment will have a direct impact on the entire success of your reception.

Sounds like the title of a spaghetti western, and to be honest, it probably, over the years has had as many casualties. So what am I talking about? The answer is bad entertainment.
I think most of us can relate to either a personal experience or the experience of a friend, to how the focal point of an event ruined it. The entertainment at an event is probably the most crucial part, if you don’t include inviting the guests, and when it goes wrong everyone notices. Just the other day I was in a conversation and was told about how a DJ failed to turn up at an event, that event being a wedding, and how despite repeated phone calls no one could contact the party involved (this was a privately booked entertainment). This basically ruined what should have been the best day of two peoples lives, a real shame as everything else had gone so smoothly. This is something not just confined to private events, it can also effect corporate ones too. Imagine planning a corporate event, your colleagues will be there, perhaps someone high up within the company is flying in from abroad, or you are trying to make a good impression on future clients and seal a deal worth a lot of money. Everything is in place, or so you think, then out of the blue… nothing, no entertainment. Panic sets in, but in the end there is little you can do, it is too late. Of course the entertainment can arrive, but still let you down. A band in jeans and T shirts at a black tie corporate event, the wrong music, there are so many aspects that to list them all would become boring for those of you reading this.
So what is the solution you ask? The best solution is to use an entertainment agency. Allow me to explain. At one time all UK entertainment agencies had to be licensed, which is no longer the case, however all entertainment agencies are required to comply with the employment agencies act and it’s amendments. This gives you, the client, legal recourse, which you can exercise if, need be. Some entertainment agencies are members of professional bodies such as The Agents Association Of Great Britain or the NEAC (National Entertainment Agents Council ), if they are then these should be your first point of contact if you have a problem, which you cannot resolve. Both organisations have a code of conduct for members and also have a disciplinary process available. If an agency is not a member of either, and the complaint is serious enough, then you can make a complaint to the DBERR, formally the DTI, who have powers to act against and impose severe sanctions on rogue agencies.
I am sure there are people reading this who are saying to themselves, is this just a plug to get business, the answer is no. Although I run an entertainment agency, I am not saying that everyone should use our services, people should and do have a choice. I am saying make sure you use a reputable entertainment agency, of which there are many. So what can you expect from a reputable entertainment agency, the first is a high level of service, professional people to source entertainment to your needs. The second, if something goes wrong, a reputable agency will do its best to put it right. Third, legally binding contracts between the parties involved.(Make sure you read any terms and conditions before signing)
Now I am sure there are some people saying, I have a contract for my DJ/Band, he/they sent me one, or I always use an agency and have a contract. My question to those people is “IS IT LEGAL”? Just because you have a contract it does not mean that it is legal or that in a dispute it will hold up in court. Always make sure that any contract you have complies with the law. If in doubt always ask the person issuing it, or take independent legal advice. The good news is that a legal contract is everybody’s safeguard, and it will detail all the requirements, so you can rest easy knowing that everything is covered.
So in conclusion, to make your event memorable for all the right reasons:
Always use a reputable agency, to avoid the bad or the indifferent, and just enjoy the good.
